Deliver EmployeeWorks Announcements Through Moveworks

View as Markdown

Overview

Reach employees where they already are. Announcements you create in ServiceNow EmployeeWorks can now also go out through Moveworks Employee Communications, using the same content and audience.

With this release, you can:

  • Write an announcement in EmployeeWorks and promote it to Moveworks, with the audience carried across.
  • Send it right away or schedule it for a specific date and time.
  • Track its status and cancel it before it goes out.

EmployeeWorks and Moveworks each keep working the way they do today. This adds Moveworks as a delivery channel for announcements you write in EmployeeWorks.

How it works

  1. A Moveworks Super Admin creates a credential in Moveworks Setup.
  2. A ServiceNow admin uses that credential to connect EmployeeWorks to Moveworks, and turns on Send promotions to Moveworks.
  3. Announcement authors write an announcement in EmployeeWorks and add a Moveworks promotion.
  4. Moveworks delivers the announcement at the scheduled time, through the same channels your org uses for Moveworks Employee Communications today.

Before you start

You’ll need:

  • A Moveworks org with Employee Communications. Announcements are delivered through the channels your org already uses for Moveworks Employee Communications (see What employees receive). No additional setup is needed.
  • ServiceNow EmployeeWorks with Announcements (Admin tools → Announcements)
  • Moveworks Super Admin access to Moveworks Setup, to create a credential
  • ServiceNow admin access to the Configuration Console, to connect Moveworks

Who can create announcements in EmployeeWorks

To use Admin tools → Announcements, users need one of these ServiceNow role configurations:

User typeRequired ServiceNow roles
System administratorSystem Administrator (admin)
Other authorized usersEmployee Center Admin (sn_hr_sp.esc_admin) and either Content Manager (sn_cd.content_manager) or Content Admin (sn_cd.content_admin)

Step 1: Create a credential in Moveworks Setup

This step requires Moveworks Super Admin access.

  1. In Moveworks Setup, go to Organization Details → Tenant Settings → Credentials.
  2. Create a new credential:
    • Name: a name that helps you recognize it, e.g. “EmployeeWorks Comms”. Only admins see it.
    • Authentication type: oAuth 2.0
    • Scope: under Employee Communications, select ecomms
  3. Select Submit.
  4. Copy the Client ID and Client Secret and store them somewhere safe. The secret is shown only once.

The Employee Communications scope is in controlled availability. If you don’t see it when creating a credential, contact your Moveworks account team or Moveworks Support to have it enabled for your org.

Step 2: Connect Moveworks in ServiceNow

  1. In ServiceNow, go to Product Hub and select ServiceNow EmployeeWorks Web App.
  2. Under Configure your product, select Configure. The Configure ServiceNow EmployeeWorks Web App page opens in the Configuration Console.
  3. In the left menu, go to Employee communications → Moveworks connection.
  4. Under OAuth Connection, enter:
    • Moveworks API Endpoint: keep the pre-filled value unless Moveworks has given you a different one.
    • Client ID and Client Secret from Step 1.
  5. Under Promotions, turn on Send promotions to Moveworks.
  6. Select Save. The connection shows as Configured.

About the “Send promotions to Moveworks” toggle

This toggle controls whether announcement authors can choose Moveworks as a delivery channel.

ToggleWhat happens
OnAuthors see Add a Moveworks promotion when they promote an announcement in the EmployeeWorks web app.
OffThe Moveworks option is hidden from authors. Your saved connection isn’t affected, so you can turn the option back on at any time.

Step 3: Send an announcement through Moveworks

  1. In EmployeeWorks, go to Admin tools → Announcements and create or open an announcement.
  2. In the Details section, add:
    • Headline (required)
    • Body copy: doesn’t show in the content feed, but is automatically used for promotions
    • Image (required): JPG, PNG, GIF or SVG, up to 5 MB, 16:9 aspect ratio recommended
    • Include a link (optional)
    • Content priority
  3. Set the Publishing options.
  4. In the Promote section, select Add a Moveworks promotion, then:
    • The Headline and Body copy are prefilled from the announcement’s Details. Update them if you want a different message for Moveworks.
    • Under Send this promotion on, choose the Start date and Start time.
    • Select Done.
  5. Select Publish.

The Moveworks promotion appears in the Promote section with its status (for example, Pending) and its audience under Who should see this content? (for example, Active Users). The promotion is sent to Moveworks for processing 24 hours before it goes live.

Edit or cancel a promotion

In the Promote section, open the ⋮ menu on the Moveworks promotion:

  • Select Edit to change the headline, body copy or schedule.
  • Select Delete to cancel the promotion before it goes live.

What employees receive

At the scheduled time, employees in the announcement’s audience receive the announcement through Moveworks Employee Communications, with the headline and body copy you entered in the Moveworks promotion.

The announcement is delivered the same way as your other Moveworks Employee Communications:

  • Web: to every web experience your org has set up, such as the EmployeeWorks web app, where it appears in the Notifications panel.
  • One chat platform per employee: the platform the employee used most recently with Moveworks, such as Microsoft Teams, Slack, Zoom, Webex, or your own platform connected through the Conversations API.

Managing the connection

  • Pause delivery through Moveworks: turn off Send promotions to Moveworks and select Save.
  • Rotate the credential: create a new credential in Moveworks Setup (Step 1). Update the Client ID and Client Secret in the Moveworks connection, then select Save.
  • Disconnect Moveworks: select Remove connection in the Moveworks connection settings.
